 Migration of Monographic Citations to LocatorPlus
 
 

N LM is in the midst of system reinvention actions to convert monographic records from several individual databases (HealthSTAR, HISTLINE, SPACELINE, BIOETHICSLINE, and POPLINE) and move them to NLM's Web-based Online Public Access Catalog called LocatorPlus. The monographic records include references to books, book chapters, technical reports, conference papers, analytic records, audiovisual materials, bills, unpublished documents and other "gray literature."

Once the conversion of monographic records is complete for a particular database, the previously existing monographic records will continue to be available for searching as part of the whole file via Internet Grateful Med (IGM), but they will not be edited nor will new monographic records be added to the individual databases accessible via IGM. Eventually (but probably not before December 2000), the individual databases will cease to exist as separate databases, their respective components having been merged into PubMed (journal citations), LocatorPlus (monographic records), and a separate Verity® database of meeting abstract citations. NLM's Gateway, expected in Summer 2000, will provide a means to search all three systems with one search request. New Monographic Citations

As of May 1, 2000, all new monographic records supplied by special data producers are created in Voyager, NLM's integrated library system used for the creation and maintenance of monographic bibliographic records at NLM. As the unique records are created, the bibliographic records immediately appear in LocatorPlus. Both in-process and completed records are searchable and viewable in LocatorPlus.

Searching and Viewing LocatorPlus

Online searchers already familiar with LocatorPlus will not detect any differences in searching by keyword, author, title, or MeSH (Medical Subject Headings) and are referred to the LocatorPlus tutorials and training aids. However, many of the unique monographic or chapter records do not have an NLM call number because NLM does not actually own the item. For these records, on the Holdings Tab, the Location label appears as "Not at NLM" and the Call Number reads "Not held at NLM."

For monographic chapter records from items owned by NLM, the Call Number field should contain the item's Call Number plus the pagination for the specific chapter. In some cases, the Call Number has not yet been identified for a particular record in which case the Call Number field contains the word "Chapter" while the NLM Owns field contains the chapter pagination followed by the note "(Search under book title following "In:" for call number)." NLM intends to update these records as soon as possible.

On the MARC View Tab, NLM uses the following locally defined tags for special data producer records:

  • 998 tag indicates the processing status, including the date a record was completed if applicable.

  • 999 tag indicates the external source of the record (unless the record is shared with NLM in which case the NLM values for this field are used).

  • 995 tag containing "AUTH" indicates the source of the record was NLM Technical Services Division and the record has been authorized/approved. This field exists only when a special data producer has enhanced an NLM record with additional subjects, keywords, or author abstract.

Information Specific to Individual Databases

HealthSTAR

  • Holdings Tab Display

    • HealthSTAR monographic records added to LocatorPlus contain a field that displays in the Holdings Tab as Other ID Numbers: (DNLM)HSTAR:nnnnnnnn (where nnnnnnnn carries the 8-digit Unique Identifier originally assigned to the record when it resided in NLM's mainframe environment). This information also displays in the MARC 035 field in the MARC View Tab.

    • All records created after December 31, 1999, are designated as (DNLM):HSTAR without any identifying number.

  • MARC View Tab Display

    • Tag 035 contains the record domain. To search this tag, go to the Advanced Menu, select Record Number from the Search In: pull-down and enter the word HSTAR.

    • Tag 998 indicates record status:
           HSRREL = completed record
           HSRCRE = in-process record

      Both of these values are searchable using the LocatorPlus Keyword Anywhere format.

    • Tag 999 indicates record domain: HSTAR = associated with and successor to the predecessor mainframe file HealthSTAR. To search, select Keyword Anywhere and enter the word, HSTAR.

HISTLINE

Date unique records added to LocatorPlus: January 23, 2000

Producer: History of Medicine Division, Library Operations, NLM

Records converted: 13,270

Of Special Note:

  • Holdings Tab Display

    • No records in the original "load" to LocatorPlus contain the NLM call number information, thus the Holdings Tab displays only the page information of the citation. To find the call number, search for a book title following "In:". All records added after February 2000 display the NLM call number and page information in the "Call Number" field in the Holdings Tab.

    • HISTLINE monographic chapter records added to LocatorPlus contain a field that displays in the Holdings Tab as Other ID Numbers: (DNLM)HISTLINE: nnnnnnnn (where nnnnnnnn carries the 8-digit Unique Identifier originally assigned to the record when it resided in NLM's mainframe environment). This information also displays in the MARC 035 field in the MARC View Tab.

    • All records created after January 23, 2000, are designated as (DNLM):HISTLINE without any identifying number.

  • MARC View Tab Display

    • Tag 035 contains the record domain. To search this tag, use the Advanced Menu, select Record Number from the Search In: pull-down, and enter the word HISTLINE.

    • Tag 998 indicates record status:
           HISREL = completed record
           HISCRE = in-process record

      Both of these values are searchable under Keyword Anywhere. A search on HISREL, however, retrieves more than 10,000 records that is the maximum allowed in LocatorPlus. Use Advanced Menu to search for more specific retrieval, e.g., to retrieve HISTLINE records published in 1999 enter:

           HISTLINE [record number] AND
           1999 [publication date]

    • Tag 999 indicates record domain: HISTLINE = associated with and successor to the predecessor mainframe file HISTLINE. To search, select Keyword Anywhere and enter the word HISTLINE.

SPACELINE

    • SPACELINE searchers are aware that NASA has some special, unique fields in this database. All fields are searchable by a Keyword Anywhere and a Keyword Combination search but users who wish to specify a particular index can use the Advanced Menu as follows:

      *Subject Headings are the strings used as filing entries in the hardcopy, annual Bibliography of Bioethics, e.g., professional ethics/education.

      ** During conversion, when BIOETHICS keywords exactly duplicated a MeSH heading, only the MeSH heading was retained. As appropriate, many of the BIOETHICS Keyword Identifiers were moved to Personal Name as Subject, Corporate Name as Subject, Meeting Name, Title, and Geographic as Subject or Local Subject tags.

      ***Subject Captions were indicated by a two-letter code representing a broad subject area or type of approach to the study of bioethical issues.          PIPREL = completed record
         PIPCRE = in-process record

  • Tag 999 indicates record domain: PIP = associated with and successor to the predecessor mainframe file POPLINE. To search, select Keyword Anywhere and enter the word PIP.

MEDLINE

Date unique records added to LocatorPlus: expected late Summer 2000

Producer: Index Section, Bibliographic Services Division, Library Operations, NLM

Records converted: about 22,000 monographic chapter citations from the 1976-1981 time period.

Of Special Note: Not yet determined.

Future

Once NLM has finished adding the unique citations to LocatorPlus, attention will be devoted to identifying LocatorPlus records that are shared between 2 or more data producers, e.g., a record of interest to both NLM and NASA, or NLM and KIE, or KIE and PIP. These records will be enhanced with producer-specific information (e.g., Space Flight/Mission Number) and an indication of the producers sharing the record will be available in the MARC View Display Tab in NLM locally-defined Tag 998 (as defined previously in this article). Completed records catalogued by NLM are identified by the value "AUTH" meaning "Authorized" in Tags 999 and 995.

Cooperative work has begun among the Kennedy Institute of Ethics (KIE), the Population Information Program (PIP), and NLM to consolidate the specialized controlled vocabularies previously used for BIOETHICSLINE and POPLINE with MeSH. Representatives from KIE and PIP are now participating directly in the development of MeSH and formally requesting specific concepts to be reviewed as potential MeSH headings. This consolidation of thesauri is yet one more step in unifying the medical data and services provided through NLM's infrastructure to the benefit of all users. It will facilitate subject retrieval across the various search systems supported by NLM.
